Reordering is usually done by walking around, noticing gaps, and remembering. It works until the shop gets big enough that nobody can hold it in their head, and then it starts costing money in two directions at once: sales lost on empty shelves, and cash tied up in stock that is not moving.

Each item gets a reorder level and a reorder quantity. As stock moves, the system watches the level, and when an item falls below it the item joins a draft order for its usual supplier.
Nothing is sent without you. The draft arrives for approval, you change what you want to change, and it goes to the supplier. What changes is not who decides — it is that the decision arrives before the shelf is empty rather than after.

Goods are received against the purchase order, so short deliveries and rate differences are visible at the point they happen rather than discovered at payment time.

What if my reorder levels change through the year?
Most shops have seasons. Levels can be adjusted in bulk by category or supplier, so a festival season does not have to be handled item by item.
Can it order automatically without me?
It can, but we do not usually recommend it, and it is off by default. The value is in the draft arriving in time, not in removing your judgement from the decision.
Does it work across branches?
Yes. Levels are per location, so a branch that is short can be filled from a branch that is long before anything is bought from outside.
